This privacy notice explains how the Miles for Millions mobile application (“the App”) collects, uses, and protects your personal data. The App is operated by the International Children’s Palliative Care Network (ICPCN) in partnership with ExPD and associated technology providers.

By using the App, you confirm that you are over 13 years of age and consent to the practices described in this policy.

What Data We Collect

We may collect and process the following categories of personal data through your use of the App:

• Account Data: Email address used to sign in and verify your identity via one-time code.
• Challenge Data: Information you enter when creating or managing a fundraising challenge, such as challenge name, story, photos, and target distance or goal.
• Location Data: If you choose to enable location tracking, GPS data is used to measure progress towards your challenge goals. This data is only shared when you explicitly choose to share a public challenge link.
• Donation Data: Name, contact details, and payment information collected securely via our third-party payment processor. Payment card details are never stored by us.
• Technical Data: Device model, app version, IP address, and crash or analytics data to help us improve the App.

How We Use Your Data

We process your data to:

• Authenticate your login and provide secure access to the App.
• Manage your challenges, progress tracking, and donations.
• Improve the performance, usability, and security of the App.
• Send important updates or support information related to your use of the App.

We do not sell your data and will only use it for the purposes described above or any compatible purpose.

Data Sharing

We may share your data with trusted service providers, including:

• Cloud hosting and IT infrastructure providers.
• Payment and donation processing partners.

All partners are required to protect your data in accordance with applicable data protection laws and process it only for authorised purposes.

International Transfers

Some service providers are based outside the UK or EEA. We ensure that data transferred internationally is protected by appropriate safeguards, such as standard contractual clauses approved by the European Commission.

Data Security

We use encryption (HTTPS/TLS) for all data in transit. Access to your personal data is restricted to authorised staff who are bound by confidentiality obligations.

Data Retention

We retain personal data only as long as necessary for the purposes described above, or to comply with legal and financial obligations. Challenge and donation data may be anonymised and retained for reporting and analysis.

• Request correction or deletion of your personal data.
• Withdraw consent for optional processing (such as location tracking).

Account and Data Deletion

Upon request, your account, challenge data, and personal information will be permanently deleted within 30 days, except for any donation transaction records that must be retained for tax and audit compliance.

Changes to this Policy

We may update this privacy policy from time to time. The latest version will always be available within the App and at the link above.
